EasyUni Edu ("we", "us") helps international students apply to universities in China. This policy explains what personal information we collect, why we collect it, who we share it with, and what control you have over it.

Your passport, transcripts and medical form are sensitive documents. We ask for them only because universities require them, and we treat them accordingly — see section 5.
3. Why we are allowed to use it (legal bases)
- To perform our agreement with you — creating your account, preparing and submitting your applications, and handling your visa and arrival support.
- Your consent — analytics and advertising cookies. You can accept or reject these when you first visit, and change your mind at any time. Rejecting them does not affect your application in any way.
- Our legitimate interests — keeping the site secure and working, and understanding which of our services students actually need.
- Legal obligation — where we are required to keep records.
4. Who we share it with
We do not sell your personal information. We share it only as described here:
- Universities you apply to. This is the point of the service — your documents and application details are sent to the institutions you and your advisor choose. These are in China, and their own rules apply once they receive your application.
- Google (Firebase). We use Firebase Authentication for sign-in and Firestore to store your profile, application status and saved programs.
- Our web host. Your uploaded documents are stored on our hosting provider's servers, not on Firebase.
- Meta and Google (advertising and analytics). Only if you accept non-essential cookies.
- WhatsApp. If you contact us through a WhatsApp link, your message and number are handled under WhatsApp's own privacy policy.
5. How your documents are protected
Uploaded documents are stored in a directory that is not reachable from the public internet. There is no URL that will serve your passport to anyone who happens to guess it. Every request to view or download a document must carry a valid, signed session token, which our server verifies before it returns a single byte — and the server derives whose folder to read from that verified token, never from anything your browser claims.
Staff access is restricted to a single administrator account, which must also be a verified account. Access is enforced on the server, not merely hidden in the interface.
No system is perfectly secure, and we cannot guarantee absolute security. If a breach ever affects your data, we will tell you.
6. International transfers
Because we are based in China, place students at Chinese universities, and use US-based providers (Google, Meta), your information will be transferred outside your home country — including to China and the United States. Data protection law in those countries may differ from your own.
7. How long we keep it
- Account and profile — while your account is open, and for a reasonable period afterwards for our records.
- Uploaded documents — until you delete them, or until your application process has finished and any record-keeping period has passed.
- Analytics data — per Google's and Meta's own retention settings.
You can delete any uploaded document yourself at any time from your Document Vault. To have your whole account and all associated data erased, email us.
8. Your rights
Depending on where you live, you may have the right to:
- Ask for a copy of the personal information we hold about you
- Correct anything inaccurate — you can edit your name, phone and nationality yourself in your dashboard Profile
- Ask us to delete your data
- Object to or restrict how we use it
- Withdraw consent for cookies at any time
- Complain to your local data protection authority

9. Cookies
Essential cookies and local storage keep you signed in and remember your cookie choice. These are always active — the site cannot function without them.
Analytics and advertising cookies (Google Analytics, Meta Pixel) are set only after you accept them. Nothing is loaded before you choose. You can change your choice at any time.
10. Children
Our services are aimed at people applying to university. If you are under 16, please have a parent or guardian contact us on your behalf.
11. Changes to this policy
If we change this policy we will update the date at the top of this page. Significant changes will be communicated to account holders by email.
